Member-rate terms
Last updated 9 October 2026. Draft pending legal review before launch.
These terms apply to everyone who joins Rugby Rooms through a club. They sit alongside our terms of use and privacy policy. You accept them when you join; if you don't agree, please don't join or book.
1. What member rates are
- Member rates are hotel prices offered only to members of participating clubs, inside a closed user group. Our hotel partners allow these prices because they aren't published to the general public. Keeping them private is what lets us keep offering them.
- A member rate can be lower than, the same as, or (for hotels without a published public price) not compared with what the hotel charges elsewhere. We don't promise the lowest price available anywhere.
2. Who can be a member
- You must be invited through a participating club's link and have a genuine connection to that club: player, coach, Old Boy or alumnus, supporter or staff.
- You must be 18 or over and give your real name, as it appears on your ID.
- One account per person. Don't share your account or sign-in codes.
3. Keeping member rates private
You may share hotel names, dates and the fact that you booked on Rugby Rooms freely.
- Member prices are for you and the people travelling with you. You may share them with your roommates, travel party and other Rugby Rooms members of your club.
- Don't publish member prices or savings: no posts, screenshots or listings on social media, public forums, websites, review or price-comparison sites, or in group chats that people outside the club can join.
- Don't resell rooms, book for people outside your travel party for payment or profit, or use member rates for a business, travel agency or tour operation.
- Don't copy, scrape or collect our prices or content by automated means, or try to reach member pages without being signed in as a member.
4. If these terms are broken
- We may suspend or close an account that breaks section 3, and may tell the member's club why.
- A hotel may refuse or cancel a booking that was resold or made in breach of these terms. If that happens, the booking's cancellation terms still apply and we aren't responsible for the cost.
- Bookings made properly before a suspension are honoured as booked, subject to the hotel's and Nuitée's terms.
5. Your membership
- Your membership is through your club. Club admins can remove members who leave the club, and a club can stop taking part in Rugby Rooms.
- When your membership ends you lose access to member rates. Bookings already made are unaffected.
- You can leave at any time by asking us at hello@rugbyrooms.com.
6. Prices
- Prices are in US dollars and can change until you complete payment. Before you pay we re-check the live price; if it has changed, we tell you and you decide whether to continue.
- We don't show other sites' prices or a “you save” figure: we can't always confirm that another price is for the same room, terms and fees. Prices are shown all-in per night so you can compare them yourself.
- The price we show includes taxes collected at booking and any mandatory hotel fees (such as resort fees). Mandatory hotel fees and any local taxes are paid at the hotel, not charged to your card; checkout shows what you pay now and what you pay at the hotel before you pay.
- If a price is shown in obvious error, we or the hotel may cancel the booking and refund what you paid in full.
7. Your club's share
- Your club receives a share of our commission on members' completed stays. It is paid to the club, not to you, has no cash value to you and never increases what you pay.
- Shares on cancelled or refunded bookings are cancelled. How clubs are paid is covered by the club's own agreement with us.
8. Bookings
Your booking is a contract with the hotel, made and paid through our booking partner Nuitée, as set out in our terms of use. The rate's conditions shown at checkout (cancellation, payment, check-in age, taxes and fees) apply to every booking.
9. Changes
We may update these terms. If a change matters to you, we'll tell you by email or on the site before it applies. Continuing to use member rates after that means you accept the update. Changes never apply to bookings already made.
